Who we are
What personal information do we collect?
We request your name and address particulars, email address and telephone number. We also require information that could allow us to identify you, buy from you, deliver to you and be of service otherwise; this type of information might also be of a personal nature.
How do we collect your information?
You will receive a customer form that contains a list of the required information, including personal data. This form can also be downloaded from our website.
Why do we need your information?
You will provide us exclusively with the data we need for our services regarding purchasing, sales et cetera. We require your information to enter into an agreement with you, to inform third party companies about payments and deliveries, and to correspond with you about the aforementioned matters; the information we ask for is necessary to enter into the agreement. Apart from that, in relevant cases we are required by law to pass on certain information to government agencies.
How do we use your personal information?
We save your information in our client folders (on paper and electronically). We use it to contact you and to provide third party companies with the necessary information about payments and deliveries.
How long will we keep your information?
We will keep your personal information for 5 years, unless the agreement continues after that, or we have a legal obligation to save it for a longer period of time. After this time we will erase your information from our systems completely.
Your privacy rights and how to exercise them
As a citizen of the EU you have the right to let us know if you:
- Would like to acces the personal information which we hold about you;
- Would like to correct or update your personal information;
- Would like to delete the recorded personal information, as long as we are not required by law to hold on to it;
- Would like to limit the personal information in our records, when you feel that we have recorded too much information about you.
It is very easy to exercise these rights. All you have to do is send an email to firstname.lastname@example.org.
How do we protect your information?
We have taken suitable organizational and technical measures to ensure that your information is safe with us. For example, the hard copy of your personal information is stored in closed filing cabinets, we do not send out sensitive personal information via email, and our databases and backups are encrypted. Our employees are trained to handle personal information safely and have signed a confidentiality agreement. Lastly, only employees who need access to certain personal data in order to do their jobs have access to the information.
With whom do we share your personal information?
The personal information that you have provided us with will only be shared with our employees who are involved with your assignment and the parties that we employ in order to carry out said assignment. As a general rule, we do not share your personal information with anyone else outside of PhenoVation.
Where and how to file a complaint
If you are, for whatever reason, dissatisfied with the way we handle your personal information, then please let us know. We welcome any and all feedback and view it as a way to learn. We would love to turn your bad experience into a good one!
